Synergy Centre Private Parties, Booking Terms and Conditions

1.                  Any booking for a party at the Synergy Centre on a is strictly on the basis of a private party.

2.                  A private party is defined as one that is not open to the public and does not charge an admission fee.

3.                  Invitations to a private party may not advertise an admission fee or a fee which may reasonably be interpreted as being a condition of entry.

4.                  Alcohol may not be sold at a private party unless the Synergy Centre has obtained a licence for this purpose.

5.                  Other refreshments may not be sold after 11pm, unless the Synergy Centre has obtained a licence for this purpose.

6.                  A booking deposit of £200 is payable to confirm the booking. Any bookings are ‘tbc’ until a booking deposit is paid.

7.                  If the hirer wishes to cancel an event having put down a booking deposit, and gives notice of 8 weeks or more, he/she will be entitled to a 66% refund on the deposit.

8.                  If the cancellation is made between 4 and 8 weeks of the date of the booking they will receive a 50% refund of the deposit.

9.                  If the cancellation is made less than 4 weeks before the date of the booking, the entire deposit will be forfeited.

10.              The booking deposit doubles as a damage deposit, which will be returned at the end of the night if no damage has been done.

11.              If damage is done to the premises during the course of the night, the damage deposit will be retained until such a time as the cost of repairing the damage has been assessed. The damage deposit will then be returned minus the amount to pay for the damage repairs. If the hirer wishes to dispute the estimated cost of the repairs, he/she must source an alternative quote to cover the repairs, to the Centre’s satisfaction, and this will be then taken as the cost and the balance of the deposit returned on the completion of the work at this price.

12.              Holders of private parties will take responsibility to prevent guests from causing disturbance while inside our outside the Centre premises. This will include instructing DJs to keep volume levels down to a level at which no disturbance is caused to neighbours. If, at any time, the sound levels are deemed by centre staff to be at risk of causing disturbance to neighbours, the hirer will be given a first warning and will undertake to reduce the sound-levels to a reasonable level.

13.              If having been asked to reduce volume levels, if either levels are not reduced but are instead returned to previous or higher levels at which a disturbance is likely to be caused, the centre team will, if necessary, decide that this constitutes damage to the centre in terms of its relations with neighbours and its standing in the community. This second warning will result in a deduction of £50 which will be deducted from the damage deposit.

14.              If a third warning becomes necessary regarding volume levels, a damage valued at a further £100 will be deemed to have occurred and this amount will be deducted from the damage deposit. This will constitute a final warning.

15.              If after a final warning the sound levels at any time return to a level at which they are likely to cause a disturbance, having been already been given a final warning, the sound will be switched off permanently. Hirers will then have until the end of their hire-period to use as they deem fit.

16.              At the end of the event, hirers will undertake to return the space to a reasonable condition. This includes cleaning up rubbish left by their guests and depositing it in the rubbish bins provided. Smaller waste on the carpets will be swept / vacuumed by centre staff.
